Everything you need to know about your AI workforce — from setup to daily operations.

Raileon is a managed AI workforce platform. We deploy intelligent AI agents that handle your business operations — marketing, outreach, email follow-ups, social media, reporting, scheduling, CRM management, and more.

Think of it as hiring a team of employees that work 24/7, never take a day off, and get smarter every week. Except instead of people, it's AI agents trained specifically on your business.

Getting started with Raileon takes three steps. The entire process from signup to your AI agents going live takes about 48 hours.

1 Tell Us About Your Business

After signing up, you'll go through a short onboarding questionnaire. It takes about 15-30 minutes and covers your business model, daily workflows, the tools you use, your biggest bottlenecks, and your goals. Your progress saves automatically — you can finish it later if you need to step away.

You don't need to answer every question. Skip anything you're unsure about — your AI will learn the rest over time.

2 We Build Your Mission Control

Based on your answers, our team sets up your private AI workspace. This includes provisioning your own secure server, connecting your tools (email, CRM, social media, calendar), and deploying AI agents tailored to your specific business.

This usually takes 24-48 hours. You'll get a notification when your workspace is ready.

3 Your Agents Go to Work

Once deployed, your agents start running immediately. Log into your dashboard to see what they're doing in real time — emails sent, posts scheduled, leads followed up, reports generated. Everything is logged and visible.

You can also upload company documents during onboarding — brand guidelines, SOPs, templates, customer lists. The more your agents know, the better they perform.

Here's a realistic timeline of what happens after you sign up:

Day 1 — Onboarding

You complete the intake questionnaire and optionally upload business documents. Our system starts analyzing your data and building your workspace.

Day 2 — Workspace Goes Live

Your workspace is ready. You'll receive a welcome email with a link to log in. Your agents start appearing in the dashboard as they come online. Each agent shows its status: Configuring → Training → Active.

Days 3-5 — Agents Start Working

Your agents begin executing tasks: sending follow-up emails, scheduling social posts, updating your CRM, and generating reports. You can see every action in your activity feed. Review what they're doing and provide feedback to help them improve.

Days 5-7 — The Learning Agent Activates

Starting around day 5-7, your AI assistant will begin asking you occasional questions to deepen its understanding of your business. Things like "What tone do you prefer in client emails?" or "Can you upload an example of a report you like?" These questions make your agents smarter over time.

The first week is about calibration. Your agents will get noticeably better in weeks 2-4 as they learn from your feedback and behavior patterns.

An AI agent is an autonomous program that performs tasks on your behalf without you needing to be involved. Each agent specializes in a specific area of your business.

Types of Agents

  • Marketing Agent — creates and schedules social media posts, writes blog content, designs email campaigns, monitors engagement, and adjusts strategy based on performance
  • Sales Agent — follows up with new leads within minutes, sends personalized outreach emails, qualifies prospects, books meetings on your calendar, and keeps your CRM updated
  • Operations Agent — generates weekly reports, processes data, tracks invoices, manages task reminders, and handles repetitive admin work
  • Support Agent — answers customer questions 24/7, resolves common tickets, collects feedback, and escalates issues that need human attention
  • Personal Assistant— manages your calendar, triages your inbox, sends reminders, drafts communications, and gives you a daily briefing of what's on your plate

Which agents get deployed depends on your business and your answers during onboarding. Not everyone gets every agent — you get what you need.

Your AI agents aren't static — they get better over time through four layers of learning:

1. Onboarding Data

Everything you share during the intake questionnaire goes into your private knowledge base. This is your agents' starting point — your industry, your workflows, your tools, your goals.

2. Uploaded Documents

Brand guidelines, email templates, SOPs, customer lists, product catalogs — anything you upload gets parsed and added to the knowledge base. Your agents reference these before taking action.

3. Active Learning

Starting in your second week, a Learning Agent will occasionally ask you questions to fill gaps in its understanding. It might ask for an example email you've sent, or how you prefer to handle a specific situation. You can respond with text or upload a file. These questions are limited to 1-2 per day so you're never overwhelmed.

4. Passive Learning

Over time, your agents learn from patterns: which emails get the best response rates, which social posts perform well, which leads convert, and what you edit or reject. The longer the system runs, the smarter it gets — and the harder it is to replace.

By month 3, your agents will know your business better than most employees.

AI agents are powerful but they're not perfect, especially in the first week. Here's how we handle it:

Review Before It Sends

During onboarding, you choose your comfort level. If you want to review and approve actions before they go out (like emails or social posts), your agents will queue them for your approval. If you trust them to operate autonomously, they will — and you can review after the fact in the activity log.

Easy Corrections

Every action your agent takes is logged in your dashboard. If something doesn't look right, you can flag it, edit it, or undo it. Your agents learn from corrections — if you edit a draft email, the agent remembers your preference for next time.

Guardrails

Agents have built-in safety rules. They won't send anything that violates your brand guidelines, they won't contact people on your "do not contact" list, and they'll flag anything unusual for your review rather than acting on it.

If something goes seriously wrong, you can always reach out to our team directly. We monitor client workspaces and catch issues proactively.

How to Connect

Go to the Integrations page in your workspace. Find the app you want to connect and click Connect. You'll be asked to authorize access through the service's own login screen (OAuth). Once connected, your agents can read and write data in that app.

Your data is yours. Here's exactly how we protect it:

Private Infrastructure

Your workspace runs on its own isolated server. Your data is completely separated from other clients — there is no shared database. Nobody else can see your information.

Encryption

All data is encrypted in transit (TLS 1.2+) and at rest (AES-256). API keys and credentials are stored with restricted access and secured with industry-standard key management.

No AI Training on Your Data

This is important: your business data is never used to train public AI models. Your documents, emails, customer lists, and conversations stay in your private workspace and are used only to operate your agents.

Access Controls

Only authorized Raileon team members can access your workspace, and only when needed to provide support or resolve issues. All access is logged.

Data Portability

If you ever cancel, you have 30 days to request a full export of your data. We'll provide it in a standard, machine-readable format. After 30 days, your data is permanently deleted from our systems.
