Cancellation & Refunds

This policy explains how to cancel your Raileon subscription, when cancellation takes effect, and what is and is not refundable. It applies to all customers of Raileon LLC (“Raileon,” “we,” “our,” or “us”) and forms part of our Terms of Service. Where this page and the Terms describe the same thing, read them together — this page is the detail.

1. How to Cancel
There are two ways to cancel, and both are equally valid:
- Self-serve: Sign in and go to Billing in your dashboard, then open the billing portal and cancel your subscription there. This takes effect immediately in our system and you will receive a confirmation email.
- By email: Write to admin@raileon.com from the email address on your account and tell us you want to cancel. We will process it and confirm in writing.
That is the whole process. You do not need to call anyone, sit through a retention offer, explain your reasons, or give notice weeks in advance. We will not put a save-offer flow in front of the cancel button, and we will not ask you to justify the decision. If you want to tell us why you are leaving we will read it carefully, but it is entirely optional.
2. When Cancellation Takes Effect
Cancellation takes effect at the end of your current billing period. It is not immediate, and that is deliberate — you have already paid for the current period, so you keep full access to your workspace, your agents, and your data until that period ends. Nothing is switched off the moment you click cancel.
At the end of the period, your subscription does not renew, billing stops, and your instance is decommissioned. We do not pro-rate. If you cancel three days into a monthly period, you keep the remaining twenty-something days of service and there is no refund for the unused portion. If you would rather stop paying but are not ready to lose access, cancelling early in a period is the cheapest way to do it — you have already bought that time either way.
3. Monthly Subscription Fees
Monthly subscription fees are non-refundable once the billing period has begun. Charges are taken in advance for the period ahead, and once that period starts the fee is earned regardless of how much you use the service during it. This includes periods in which you did not log in, did not run any agents, or forgot the subscription was active.
We do not refund a period because you meant to cancel earlier and did not. If you spot an unwanted renewal quickly, contact admin@raileon.comand we will look at it under Section 9 — that is a discretionary courtesy, not an entitlement.
4. Setup and Implementation Fees
One-time setup and implementation fees are non-refundable once work has begun. These fees are not a deposit against future service — they pay for work that is performed up front: provisioning your dedicated instance, configuring your agents, connecting your tools, and tailoring the workspace to how your firm actually operates. That work is done and cannot be un-done or resold.
“Work has begun” means we have started provisioning or configuration, not merely that you have paid. If you pay a setup fee and cancel before we have started, tell us at admin@raileon.com and we will refund it.
5. Metered AI Usage
AI usage is billed as it is incurred and is not refundable. When your agents run, we pay third-party AI providers for that processing in real time. Those costs are external and already spent by the time they reach your invoice, so there is nothing to reverse — including for work you later decide you did not want.
6. Changing Plans Mid-Cycle
- Upgrades take effect immediately. You get the higher tier right away, and we bill the difference between the two plans for the remainder of the current period.
- Downgrades take effect at the next renewal. You keep the higher tier for the rest of the period you have already paid for, and the lower price starts at the next renewal. Downgrading does not generate a refund or a credit for the current period.
Both changes can be made yourself through the billing portal under Billing in your dashboard.
7. Your Data After Cancellation
Cancelling billing does not immediately destroy your data. After your service ends you have a 30-day export window in which you can request a copy of your data in a structured, machine-readable format. Email admin@raileon.com or privacy@raileon.com to start an export.
After those 30 days, your dedicated instance and all associated data are permanently deleted, along with the daily backups on their normal 30-day retention cycle. Deletion is not reversible, so please export anything you need before the window closes. We retain billing records and basic account information where tax and accounting rules require it. 8. Failed Payments and Involuntary Cancellation
If a payment fails, we will attempt to charge the card again over the following days and email you at the address on your account. Please keep your payment method current — expired cards are the most common cause of an account interruption.
- If payment is not resolved, we may suspend access to your workspace until the balance is settled.
- If it remains unresolved, we may cancel the subscription. This is treated the same as a cancellation you initiated: the 30-day export window in Section 7 still applies before deletion.
- Amounts already owed for service delivered, including metered AI usage, remain payable.
If money is tight or the timing is bad, email admin@raileon.com before it gets to suspension. We would rather work something out than switch your firm off.
9. Exceptions and Goodwill
Some things are always refunded, no discretion involved. If we have billed you in error, charged you twice for the same thing, charged you after a cancellation was confirmed, or charged the wrong amount, we refund it in full as soon as we verify it. You do not need to argue for this — it is our mistake and we fix it.
Beyond that, we consider requests case by case at Raileon’s discretion. Extended outages caused by us, a setup fee charged before any work started, or an obviously accidental renewal are the kinds of situations we look at seriously. We are not promising a refund in any of them, and a goodwill refund in one case does not create an entitlement in another. If you think your situation qualifies, write to admin@raileon.com with your account email, the charge in question, and what happened.
10. Billing Disputes and Chargebacks
If a charge looks wrong, contact admin@raileon.com with your account email, the date and amount of the charge, and a short description of the problem. We aim to respond within 5 business days and will send you the underlying usage or invoice detail so you can see exactly what was billed.
Please come to us before filing a chargeback.A chargeback with your bank takes weeks to resolve, and while it is open our payment processor may restrict the account — which can suspend the service you are still relying on. Emailing us is almost always faster, and if the charge really was an error we refund it directly under Section 9 without any of that. We are not trying to block your right to dispute a charge; we are asking for the chance to fix it first.
11. Changes to This Policy
We may update this policy from time to time. When we make material changes, we will notify you by email or through the platform at least 15 days before they take effect. The Effective Date at the top of this page shows when it was last revised. Changes are not applied retroactively to charges already made.
